Your privacy matters to us. A lot! That’s why we want to be completely transparent about what personal data we collect, how and where we store it, and how we use it.

At Traineroo.com, our golden rule is simple: You are (and always will be) the owner of your personal data. You can access, correct, or delete your personal information anytime. No forms, no fuss and no questions asked.  And we promise: we will NEVER sell or give away your personal data to anyone.

A final note before you take a deepdive into legal stuff: We believe privacy shouldn’t be a maze of legal jargon. it should be clear, fair, and human. At Traineroo, your trust means everything. And we intend to keep it that way.

Why Do We Use Personal Data?

We’re not allowed (and don’t want!) to store or process your personal data without good reason. From a legal point of view, we need “legitimate grounds”. Or, as we like to call it, a damn good reason. And we have one: Unlocking Human Potential.

Our work revolves around developing people. And when we work together, we need some information to do it right. We collect and use personal data in these situations:

  • When you submit a contact form, request a factsheet, or use our chat functions.
  • When you register for an open, in-company, or customized training.
  • When you register and use our e-learning platform.
  • When you enter into an agreement with us (for training, workshops, events, or services).
  • When we send invoices or handle administrative processes.

We only ask for personal information when it’s truly needed. Here’s what we do with it:

  • Reply to your contact or proposal request.
  • Send invitations and intake surveys when you register for a training.
  • Keep you updated on your learning journey and progress.
  • Give you personalized advice about your development.
  • Invite you for customer satisfaction surveys or to leave a review.
  • Share inspiring content, new programs, and relevant offers.
  • Process your training participation and invoices.

Everything we do with your data has a purpose: improving your learning experience and keeping our collaboration smooth, personal, and effective.

That depends on the type of collaboration we have. We only store and share your personal data when it’s truly necessary to deliver our services.

We never hand over your data to third parties who aren’t directly involved in Traineroo’s services.

External Partners & Tools

Our platforms are developed and hosted in-house, but we work with a few trusted technology partners, including:

  • Exact – for financial administration and invoicing
  • Microsoft – for Office and communication tools
  • Mailchimp – for email newsletters and updates
  • SanaLabs – for our e-learning environment
  • Hostnet – for secure server hosting

These partners only process data on behalf of Traineroo.com and under strict agreements.

Our Value Network

Traineroo is a network of passionate learning professionals. Sometimes, external trainers (not employed by Traineroo.com) facilitate a training. In those cases, they’ll receive your:

  • First and last name
  • Company name
  • Job title
  • (Business) email address (only when necessary)

All our partners are contractually bound to follow our Privacy Statement and Terms & Conditions.

All our systems are hosted on secure Virtual Private Servers (VPS) provided by Hostnet within the EU. Your personal data is safely stored on these servers when you register for a training or use our e-learning platform.

We also work with a few external partners for service delivery:

  • Mailchimp – for email updates and notifications
  • Exact – for invoicing and administration
  • HubSpot – for customer relationship management
  • Mollie – for secure online payments
  • SurveyMonkey – for evaluations and feedback
  • Microsoft Office – for participant lists, notes, and email communication
  • Sanalabs – for our learning platform

All these tools meet GDPR (AVG) standards and are bound by data processing agreements.

We take data protection very seriously, both technically and operationally. All systems are protected with strong passwords, encryption, two-factor authentication, and regular security updates.

But even with the best systems in place, no network is 100% immune to incidents. That’s why we have a Data Breach Response Protocol in place:

  • Immediate Action – any suspected breach is investigated within 24 hours.
  • Impact Assessment – we determine what data is affected and how serious it is.
  • Containment & Recovery – we isolate the issue, secure the system, and restore safe operations.
  • Notification – if your personal data may have been compromised, we’ll inform you immediately, clearly, and transparently.
  • Reporting – when required, we report the breach to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours.

We continuously monitor and improve our systems to prevent data breaches and to ensure your trust remains justified.

We don’t keep your personal data just for fun. Once it’s no longer needed, it’s deleted. We may use anonymous data for internal analysis and reporting only.

Here’s our retention policy:

  • Administrative data (invoices, payments, training registrations): 8 years (one more than required by Dutch tax law, just to be safe).

  • Learning platform: kept as long as your account is active.
    If you’re inactive for 1 year and don’t respond to reminders, your profile will be deleted after 3 months.

  • Emailing database: kept indefinitely, but you can unsubscribe anytime.
    Bounced addresses are deleted automatically within 6 months.

  • CRM data: deleted after 3 years of inactivity (no purchases or contact).

  • Training surveys: kept for 1 year unless you’ve given permission to publish your review.

  • Published testimonials remain online until you ask us to remove them.

You are (and always will be) the owner of your personal data. You can manage everything yourself via your Traineroo Account:

  • Edit your profile
  • Change what information is visible to others
  • Adjust your email preferences
  • Delete your profile and all linked data

We take data protection seriously. We use modern encryption, strong passwords, and secure backups to ensure your information stays safe, and out of reach of anyone who shouldn’t have it.
We may update this statement when laws, technologies, or our services change. When that happens, we’ll publish the new version here, clearly marked with the latest update date.
